Scouting University 2012


Each Spring, we host Scouting University, a merit badge college for boy scouts in and around the area. What this means is that we find individuals with expertise relevant to each merit badge we choose, who conduct sessions aimed to cover most or all of the requirements for that merit badge.

This year, we will be hosting Scouting University on the 14th of April.

Merit Badges Offered

Nearly all merit badges will be offered in both the AM and PM sessions. Fingerprinting will be offered during lunch. For registration, scouts will be asked to list up to five merit badge classes that he would be interested in taking in order of interest.

Achievements

Upon completion of the merit badge college, Scouts will be given a certificate showing requirements completed, and we will also be communicating achievements directly to the advancement chair of your troop thereafter. This provides the utmost accuracy in the records, as well as provides you with tangible proof of completion. That said, it is critical that the information provided for Advancement Chairs to be accurate.

Registration

Registration is basically separated into four completely independent parts that do not have to be completed in any particular order (besides payment, which you can't do until after you register, of course). All four parts of registration must be complete by April 1st; however, it is encouraged to have everything completed as soon as possible to allow for time to handle any issues. In the case that you cannot complete registration by April 1st, contact us as early as you can so that we know and so that we may offer help if possible.

Scout registration will close promptly on March 10th. All forms and payment must be in by April 1st.

2. Unit Registration

The second part of registration is unit registration. This only needs to be done once for each unit. This includes information for the scoutmaster and the advancement chair of each unit.

3. Forms

The third part of registration includes the forms that we will need for each scout. The first three forms are mandatory. The Talent Release is not mandatory but highly encouraged. Many pictures will be taken, which will later be made available on the pictures tab of this website. Without the Talent Release for a scout, we must remove any pictures including the scout. We also will be taking a group photo at the end of the day and would like to include everyone.

4. Payment

When you complete scout registration, you will receive a confirmation e-mail providing you with an overall price. Like the forms, there are two ways to pay:

We accept cash or check through the mail. Make the check out to "Alpha Phi Omega, Alpha Epsilon Zeta" and be sure to conceal it so that it's not visible through the envelope.

This is an on-campus residence and is very secure. This address may also be used for forms.

The cost of the event is similar to last year, but is broken down differently. The fees collected for this event go into preparing the facilities, printing merit badge packets, and obtaining all the necessary resources for each merit badge counselor. This event is also a large fundraiser for our chapter of Alpha Phi Omega at UT Dallas. The proceeds of Scouting University, along with endorsements from the university and surrounding schools, are used to host our major Fall event "Math & Science Camp" in which we bus in a few hundred children from surrounding elementary schools for a day of small sessions designed to teach fun and various angles of math and science.

Attire

We expect scouts attending to be in Class A uniform, although hats and neckerchiefs are not required.

Location

The entirety of the event will be conducted on The University of Texas at Dallas campus. Check-in and check-out will occur at Hoblitzelle Hall (HH).

We are looking to have a specific section of parking set aside for drop-off, counselors, and volunteers. Stay posted.

Check-In

Check-in will open at 7:30am. We will not be starting our opening ceremony until 9:00am, but please try to arrive by 8:30am to ensure that all scouts are checked-in and seated by 9. Each scout must be present at the check-in table to
receive their materials and be checked-in. As we are responsible for your scouts, if we cannot find a scout who appears to have checked-in but then does not show up, it becomes a frenzy of phone calls and searching and can damage our ability to hold the event in future years.

Mid-day Check-Out/Check-In

A scout may be checked in up to 30 minutes into any given session to receive credit. A scout may be checked-out at any time of the day.

Check-Out

Prior to the event, the "Approved Drivers" form designates people who are given the authority to check scouts out. Only these people will be allowed to take a scout. If the driver is late, we will never leave a scout unattended, but please make the necessary arrangements beforehand. Once again, if you leave with your scout without checking out, this incites an otherwise unnecessary mobilization, so please be sure to do so.
